Oral and poster presentations are ephemeral. The audience cannot physically take
your words or poster home with them. The solution? Create handouts that your audience
can reflect on after the event. In this lesson, you will learn how
handouts can become parting gifts, memorable souvenirs for your audience. Handouts often serve as a summary of the main points of a presentation, but there are many other diverse uses. A handout can be an outline that makes note taking easier for audience members. It can contain information that you
simply didn't have enough time to cover during the presentation. It can illustrate a particular
point that you're trying to make. A handout can provide statistical or
graphical data that is too complicated to explain in words, would take too
much time to write on the board, or would be too small to read
on a PowerPoint slide. A handout can also serve
as an interactive, practical worksheet that encourages
the audience to use their critical thinking and problem solving skills. No matter what purpose
your handout is serving, the main content should be in
the middle of the handout. At the top of the handout clearly
provide details about yourself and your presentation. Write basic information
about your presentation including the title and the date. Under that add your contact information,
your first and last name, as well as your affiliation, the name of
your organization, department or class. Presenters at academic and professional
conferences also add an email address in case audience members have questions or
comments after the event. At the bottom of the handout, it's nice
to leave the audience with ideas for further information. This is where you put the works that
you cited during your presentation in alphabetical order by the author's last
name, the title of each article and book, plus the year of publication. Your organization may require you to add more details using APA or MLA format. If you didn't quote or paraphrase anyone,
add a list of suggested reading materials for audience members who are thoroughly
excited about learning more information. Here are more formatting tips. Try to limit your handout
to one to two pages which can be printed on both
sides of one sheet of paper. If there's too much information
the audience will not want to look at any of it. Leave wide margins,
at least one inch or 25 millimeters so that people have space to write
extra notes on the sides. Proofread for spelling, grammar, and
punctuation mistakes before printing. Use subheadings to organize your
information, and leave a space, a blank line between sections
to make blocks of information that are easier on the eye Be
consistent about formatting. The same type of font,
the same style of graphics. If you underline one subheading,
for instance, then all subheadings should be underlined. Here are some tips for distributing
your handout to a large crowd. First of all, print your original
in grayscale or black and white, not in color. Photocopy machines usually
only print in grayscale so colorful originals will look
distorted on the duplicate copies. Find out exactly how many copies you will
need and check that each copy is clear. Sometimes photocopiers and printers will
start messing up at the end of each batch. You may also want to consider
printing a few extra copies in case there are extra attendees. If possible, give a handout at
the end of your presentation. If you give it earlier, the audience
will be tempted to read your handout instead of paying attention to what you
are saying during your presentation. To make distributing the handout faster, give a small batch to
the front person in each row. Instead of walking around the room, and giving your handout to
each attendee one by one. Handouts are the only tangible souvenir
that your audience can keep after your presentation. In this lesson, you'll learn that

treated like a valuable gift.
